# Access assessment results

## Viewing assessment results (managers)

Once you've submitted an assessment, you can view the results by following the steps below.

1. Click **My team** in the top nav.

2. Click the 3-dot icon next to the name of the employee.

3. Select **Reviews** in the dropdown.

4. Click **View** next to the assessment.

## Viewing assessment results (employees)

Whether or not you can view assessment results depends on the review settings. You might have access right away, or results might be shared at a later point by your administrator or manager. Once shared, you'll receive an email notification. If acknowledgement is required, you'll also receive a task in Quinto to acknowledge that you've had a discussion with your manager about the results. You can view the results by clicking the link in the email notification or by following the steps below.

1. Click **My profile** in the top nav.

2. Click the **Reviews**tab.

3. Click **View** next to the assessment.

## Downloading assessment results

If you have access to the onscreen results, you can also download a PDF report. Follow the steps above to open the results page from your team or profile, and then click *Download results* in the side panel.

The PDF report includes a summary page and a detailed comparison of the job requirements, the subject's ratings, and the manager's ratings.

# Activate and deactivate users

When someone leaves the organization, you might want to remove their access to Quinto. Deactivating is a good option when there's a possibility that you'll restore access in the future. None of the user's contributions will be deleted. All of their activities will still be there if you reactivate their account.

\*A deactivated icon appears beside the user's name in the list of survey participants and job collaborators.

## Filter users by status

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Scroll down the filters on the left side of the page.

4. Select **Active** , **Suspended** , or **Deactivated** in the status filter.

## Activate users

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Search for and select the user in the table.

4. Click **Change status** in the menu at the top of the table.

5. Select **Activate users** in the dropdown.

We allow users to be activated until the license limit is reached. If you activate in bulk and there aren't enough licenses, not all of the selected users will be activated.

## Deactivate users

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Search for and select the user in the table.

4. Click **Change status** in the menu at the top of the table.

5. Select **Deactivate users** in the dropdown.

6. Select a reason (departure, on leave, or other).

7. Decide whether to unassign the user from their position.

8. Click **Deactivate**to confirm.

The options in steps 6 and 7 are applied to all selected users, even those who are already deactivated.

# Add a new user

Want to give employees access to Quinto? Follow the steps in this article when you just have a few users to add. We also have a [user import](https://help.quinto.work/hc/user-import-guide.md) that allows you to bulk-create accounts.

## Creating an account

You'll need the user's name and work email address to create their account.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Add** on the top right of your screen.

4. Enter the user's first and last name.

5. Enter their email address. This needs to be unique.

6. Click **Add**. A new page opens displaying the user's details with optional fields.

7. Turn on the **Active**switch to enable their account. A user needs to be active to log in.

## Assigning permissions

The next step is to decide how much access this user needs. They will be assigned a [default permission set](https://help.quinto.work/hc/set-the-default-permission-set.md), but you can assign additional permission sets depending on their role in Quinto.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Find the user in the table and click their name.

4. Click **Add** in the **Access** section to open a list of permission sets.

5. Select the permission sets that you want to assign to this user.

## Sending an invitation

Now that you've created an account and added the permissions this user needs, you're ready to send an invite so they can log in to Quinto. Click here to learn how to customize this email.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Find the user in the table and click their name.

4. Select **Send invite** in the Account section.

The user receives an email with a link to set their password. Once the user logs in, we replace the invite date with their last login date.

# Add custom fields to jobs

## Types of job properties

Job properties display metadata on job descriptions and can be used to filter jobs. We offer the following default properties which you can customize or turn off if they're not useful for your organization.

* Job group

* Job code

* Job levels

* Job type

* Last published

* Locations

* Reports to

* Salary

In addition to using our defaults, you can also create your own custom properties. Perhaps you want to indicate whether a job requires a criminal record check, or sort jobs by their FLSA status. There are three types of properties you you can create:

* Alphanumeric: Any combination of number and letters can be entered on a job.

* Multi-select: Define a list of options; one can be selected on a job.

* Single-select: Define a list of options; multiple can be selected on a job.

## Rename default properties

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job properties**under Features in the side menu.

4. Point to a property and click the 3-dot icon.

5. Select **Rename** in the drop-down.

6. Enter a new name and click **Save**.

7. Click the [pending updates](https://help.quinto.work/hc/pending-job-updates.md) icon to apply the change to published jobs.

## Edit single and multi-select property options

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job properties**under Features in the side menu.

4. Click the name of the property you want to customize.

   * **Rename:** Hover over a level, click the 3-dot icon, and select *Edit*.

   * **Reorder:** Hover just to left of an option, click, and drag.

   * **Add:** Hover over an option and click the plus icon.

   * **Delete:** Hover over an option, click the 3-dot icon, and select *Delete*.

5. Click the [pending updates](https://help.quinto.work/hc/pending-job-updates.md) icon to apply the change to published jobs.

## Creating custom properties

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job properties**under Features in the side menu.

4. Click **Create**on the top right of the page.

5. Enter a name, select a type, and click **Create**.

6. For multi- or single-select, click the plus icon to add options.

## Adding properties to the job template

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job templates** under Features in the side menu.

4. Click the **Job descriptions** template.

5. Click **Information** under the Content heading.

6. Select where you want the property to show up:

   * Jobs: appears when viewing a job description in the Jobs module.

   * Exports: appears on job descriptions exported to PDF or Word.

   * General: appears when people view a job outside the Jobs module.

7. Click the [pending updates](https://help.quinto.work/hc/pending-job-updates.md) icon to apply the change to published jobs.

The draft version of a job will show all available properties. The published version will only show properties with data.

# Allow a review participant to resubmit

A participant might decide they want to adjust their ratings after further reflection. Quinto allows you to reopen a participant without affecting anyone else's submissions. The reopened participant receives an email notification and a new task in Quinto. Their original ratings remain selected, but they can change any of those ratings before submitting the questionnaire again.

## How to reopen a participant's assessment

1. Click **Reviews** in the top nav.

2. Click **Manage reviews** in the drop-down.

3. Find the review in the table.

4. Click the name of the review.

5. Click **Assessments** and select **Participants** in the drop-down.

6. Click the 3-dot icon beside the participant you want to reopen.

7. Select **Reopen** in the drop-down.

Reopening a manager's assessment cancels any open sharing or acknowledgment tasks. Reopening a subject's assessment has no impact on sharing and acknowledgment.

# Anonymize a user

When you want to remove an employee's personally identifiable data, you can anonymize their account. This is a useful feature to satisfy the right of erasure required by the GDPR.  
Once anonymized, a user's account and activities are gone forever.

## What happens when a user is anonymized?

* Their account can no longer be restored.

* Their name and email address are replaced with an alphanumeric code everywhere in Quinto to anonymize their activities and contributions (e.g., audit log entries, comments on job descriptions).

* Their profile picture is deleted.

## How to anonymize users

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Actions** on the top right of the page.

4. Select **Anonymize users** in the dropdown.

5. Click a user's 3-dot icon and select **Anonymize**.

6. Click **Anonymize** to confirm.

# Archive or delete jobs

Both draft and published jobs can be archived or deleted. Archiving is a great way to hide outdated or unused job descriptions that you don't want employees to view. We recommend archiving rather than deleting because you can restore archived jobs if needed.  
Archiving or deleting jobs also disassociates their positions.

## Archiving jobs

Interview guides associated to the job are also archived.

1. Click **Jobs**in the top nav.

2. Select the checkbox beside each job you want to archive.

3. Click **More** at the top of the page and select **Archive**.

4. Decide whether to notify incumbents.

5. Click **Archive**to confirm.

Incumbents receive an in-app notification and an email if you chose to notify them.

## Restoring archived jobs

Restored jobs are returned to their original group.

1. Click **Jobs**in the top nav.

2. Click **Actions** and select **View archive**.

3. Find the job you want to restore.

4. Click the 3-dot and select **Restore**.

## Deleting jobs

Deleting a job permanently removes it from your site.

1. Click **Jobs**in the top nav.

2. Select the checkbox beside each job you want to archive.

3. Click **More** at the top of the page and select **Delete**.

4. Click **Delete**to confirm.

# ATS integrations: push job posts to Greenhouse

Quinto's integration with Greenhouse allows users to push jobs posts from Quinto to Greenhouse.

## Enabling the integration

### Step 1. Create a Harvest API key in Quinto

To configure the Quinto integration, you'll need to create a Harvest API key. Follow the steps in [this article](https://support.greenhouse.io/hc/en-us/articles/5888163769883-Create-a-Harvest-API-key-for-an-integration) to create the key, and verify that the permissions below are selected when configuring the Quinto integration.

#### Credentials

In the Create New Credential box, make the following selections:

* API Type: Harvest

* Partner: Quinto or Custom

* Description: Quinto Harvest API Key

#### Permissions

Verify that all permissions are selected for the Quinto integration.

### Step 2. Set up the integration in Quinto

1. Log in to Quinto.

2. Click the gear icon on the top right of your screen.

3. Select **General administration** in the drop-down.

7. Paste the Harvest API key in the Token field.

## Using the Quinto integration with Greenhouse Recruiting

1. Log in to Quinto.

2. Click **Jobs** in the top nav.

5. Click **Greenhouse**on the top right of the page.

6. Click **Send to Greenhouse.**

7. Click **Send**.

Resending the same job post will create a second job post in Greenhouse. The original job post won't be overwritten.

## Managing the job post in Greenhouse

1. In Greenhouse, click **Jobs** in the main menu.

2. Click the name of a job you pushed from Quinto.

3. Click **Job Setup** in the side menu.

4. Click **Edit** on the top right of the Job Posts section.

5. Click the pencil icon to edit the job post text.

# ATS integrations: push job posts to Lever

Quinto's integration with Lever allows users to push jobs posts from Quinto to Lever.

## Enabling the integration

### Step 1. Create an Unspecified Lever department and team

1. Log in it to Lever.

2. Click the avatar on the top right of your screen.

3. Select **Settings** in the dropdown.

4. Click **Company** in the side menu.

5. Click the **Departments \& Teams** tab.

6. Click the **Add Department** button at the bottom of the page.

7. Name the department 'Unspecified' and click **Add**.

8. Click **+Add team** in the department you just created. Departments are the parent category used to organize teams.

9. Name the team 'Unspecified' and click Add.

### Step 2. Create an Unspecified Lever location

1. Log in it to Lever.

2. Click the avatar on the top right of your screen.

3. Select **Settings** in the dropdown.

4. Click **Company** in the side menu.

5. Click the **Locations** tab.

6. Click **+Add Location**.

7. Name the location 'Unspecified' and click **Add**.

### Step 3. Make sure you have a super admin

1. Log in to Lever.

2. Click the avatar on the top right of your screen.

3. Select **Settings** in the dropdown.

4. Click **Roles** in the side menu.

5. Confirm that there is at least one **Super Admin** user.

### Step 4. Set up the integration in Quinto

1. Log in to Quinto.

2. Click the gear icon on the top right of your screen.

3. Select **General administration** in the drop-down.

4. Click **Integrations** under Account in the side menu.

5. Click the **ATS** tab.

6. Click the **Lever** tile.

7. Log in to your Lever account and click **Continue**.

8. Click **Accept** to give Quinto access to:

   * View all users

   * View and manage all postings

   * Allow offline access

Once set up, the ATS integrations page displays your Lever connection.

3. Click the name of the job in the table.

4. Click the **Job post** tab.

5. Click **Lever** on the top right of the page.

7. Click **Send**.

Once sent, a green checkmark indicates that the job has been pushed to lever.

# Build an interview template

An interview template is a valuable resource for hiring managers looking to streamline the interview process and find the right candidate for a job. Typically, a template includes competency-based questions that align with the job requirements. Using templates to conduct interviews provides a standardized approach to evaluating candidates, leading to better hiring decisions for your organization.

## Choosing a job

Before getting started, make sure you've [created a job description](https://help.quinto.work/hc/create-your-first-job-description.md). We recommend adding competencies and proficiency levels to the job so Quinto can suggest competency-based interview questions. Click *Interviews* in the top nav. Click *Create*. Search for a job and give your template a title.  
You can also copy a template to get started. Click the 3-dot icon and select *Duplicate*.

## Including instructions

When you're creating a new template, you can choose a communication document. This is a document we include in your exported template that provides instructions for interviewers. Your site comes with a default, but you can also create your own. For example, you might use a different document for hiring executives versus more junior employees. Once you've selected a document, click *Create* to open your template.

## Adding questions

In the side panel, you'll see a list of competency-based questions. We recommend planning to spend 10-15 minutes per question in the interview. Asking all candidates the same set of questions reduces bias and makes it easier to evaluate each candidate objectively.

By default we suggest questions associated to competencies on the job, but you can click *Job related questions* to switch to *All questions*. You can also filter the list by group or search for specific text.

Click the drop-down arrow at the top of the panel to switch to *Topic questions*. For example, you might want to add icebreaker questions to start the interview. Questions that haven't been added to templates based on this job are highlighted with an asterisk to help you conduct varied interviews.

Click and drag to reorder questions. Click the *Follow-ups* link to open a list of leading questions to elicit a more complete response from the candidate. You can [create and edit questions in the question bank](https://help.quinto.work/hc/types-of-interview-questions.md), but not directly on a template.

## Publishing your template

Once you've finished adding and arranging questions, you're ready to publish. Click *Publish* on the top right of the page. This makes your template available to users who have permission to access but not manage interview templates. You'll also see a *Copy to clipboard* option so you can easily paste the questions in an email or an ATS.

And that's it! Now you're ready to use the template when conducting interviews. You can also export a template to Word or PDF.

# Can I assign permissions to users in bulk?

Quinto makes it easy to manage permissions. You can assign permission sets in bulk from the users table.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Search for and select the user in the table.

4. Click **Assign** in the menu at the top of the table.

5. Select **Assign permission sets** in the drop-down.

6. Select the permission sets you want to assign (you can add multiple).

7. Select the checkbox to remove the other permission sets assigned to these users.

8. Click **Assign** to confirm.

# Can I cancel an employee signoff request?

If you sent a signoff request by mistake, you can cancel it. The employee will receive an email notification, and their task will be closed automatically.

1. Click **Jobs**in the top nav.

2. Click **Jobs**on the top left of the page.

3. Select **Signoffs** in the dropdown.

4. Filter by **Requested**.

   * **One employee:** Point to a user, click the 3-dot icon, and select *Cancel request*.

   * **Multiple employees:** Select users and click *Cancel request* at the top of the table.

5. Click **Confirm**to complete the process.

# Can I change review settings?

## Review statuses

The settings you can change depend on the status of the review. There are four statuses:

* **Draft:** The review has been created but setup has not been completed.

* **Scheduled:** Setup has been completed but the launch date hasn't arrived.

* **Live:** Assessments have been sent and submissions are being accepted.

* **Closed:** The review has been manually closed and submissions are no longer accepted.

## How to change review settings

1. Click **Reviews** in the top nav.

2. Click **Manage reviews** in the drop-down.

4. Click the 3-dot icon beside the review.

5. Select **Edit setup** in the drop-down.

7. Make your changes and click **Exit** (edits are live-saved).

# Can I create a new library?

New libraries cannot be created in Quinto. If you want to add a library that we don't offer, there are two options. # Can I edit a survey in progress?

There are four survey stages:

* **Draft:** You've created the survey but haven't set a start date and time.

* **Scheduled:** You've added a start date and time (cancel the survey to return to draft).

* **Live:** Quinto has sent out the survey on your specified start date.

* **Closed:** You've closed the survey (reopen the survey to return to live).

In the first three stages, you have the ability to change the survey participants, content, communications, settings, due date, and reminder date. You can only edit the go-live date and time of a draft survey. If a survey has been closed, it will need to be reopened to make changes.  
Keep in mind that when you're editing the content of a live survey, you might be invalidating the feedback that participants have already submitted.

## How does Quinto suggest next steps?

We use AI to suggest next steps based on your current role and other jobs in your organization. Depending on how your administrator has configured career paths, we consider job titles, job level (when available), job group, competencies, and skills to identify realistic career moves, usually one level up or at the same level. The focus is on roles within the same or closely related job groups, with competencies and skills helping refine the best matches. The most relevant options are then ranked and shown as your career path suggestions.

## How does Quinto build paths to a target role?

We use AI to generate up to three possible career paths from your current role to a target role. Paths typically progress through levels or move through closely related groups. Depending on how your administrator has configured career paths, we consider job titles, job level (when available), job group, competencies, and skills to understand how roles connect. The shortest and most logical routes are prioritized, and only steps that represent clear career progression are included. If a direct move is realistic, it is shown as a single-step path.

## How are match scores calculated?

Match scores are calculated by comparing the competencies and skills on a user's profile with the competencies and skills required on a job. Users receive a partial score if they have a lower level of a required competency or skill. The weight of competencies and skills follows the [employee profile settings](https://help.quinto.work/hc/set-up-employee-profiles.md). Items need to be validated by a manager to be included, so capabilities added to profile from a self-assessment won't contribute to the score.

## What happens when I edit and republish a job?

The job is immediately updated in career paths to reflect the most recent version. It also becomes immediately available to be suggested as a potential role when users explore or start with a target.

## What happens when I archive or delete a job?

The job is immediately removed from defined paths and no longer appears as an option when users explore or start with a target. Employees who have saved a path that includes the job see a note that says 'There's a new version of this path' and an option to update the path. Once updated, the job is removed from their path.

## What happens when I restore a job?

The job is not added back to any defined paths or paths saved to employee profiles. However, it will now appear as an option when users explore or start with a target.

## What happens when I change a user's position?

The jobs in saved paths won't be changed or removed. However, the current role label will update immediately in those paths. If the new current role is included in a path, the label moves to that job. If it isn't included, the label is removed from the path.

## How are jobs displayed in career paths?

The information section shows only what is configured in the job template's special settings. All other job sections are displayed as normal.

If a user has capabilities on their profile, they will also see a section that compares their capabilities to the job requirements and highlights their strengths and gaps. This section can include competencies and/or skills depending on what is enabled in the employee profile settings.

## Publish job descriptions

Published jobs are used to generate suggested roles in career pathing. Make sure you've reviewed and published enough jobs across your organization so employees have a variety of options and can create realistic career paths. ## Assign current roles

When building a career path, it's helpful to know you're starting point. If a user doesn't have a role assigned, they'll be prompted to select one when exploring possibilities or starting with a target. You can simplify this by assigning roles beforehand. You'll need to make sure that users are in positions that are linked to published job descriptions. This can be done [manually](https://help.quinto.work/hc/how-do-i-add-a-user-to-a-job.md) or through a [user import](https://help.quinto.work/hc/user-import-guide.md).

## Conduct reviews to populate profiles (optional)

To see how well their profile aligns with the requirements of other jobs, users need to have capabilities added through [reviews](https://help.quinto.work/hc/reviews.md). Users with empty profiles can still create career paths, but they won't see match percentages or indicators (limited fit, potential fit, or strong match).

## Create defined paths (optional)

If you want to provide employees with validated paths that are already mapped out for them, you can create defined paths. These paths show a recommended progression of published jobs, highlighting which roles build on one another. By providing defined paths, you help employees ensure their development aligns with the career opportunities available within your organization. ## Configure exploration settings

The option to explore career paths is turned on by default, but you can turn it off. When it's off, users with permission to access career paths can still view defined paths (if enabled), but they won't be able to explore possibilities or start with a target. When it's on, there are also customization options available. Follow the steps below to manage these settings.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the dropdown.

3. Click **Career paths**under Features in the side menu.

4. Turn off the **Career path exploration** setting if you want to disable this option.

5. Click **Edit settings** if you want to customize how exploration works.

6. Select which capabilities to include so suggestions reflect what your organization values:

   * Job title

   * Job groups

   * Job level

   * Competencies

   * Skills

7. Select the highest role in the organization so Quinto understands your job hierarchy. Once a user selects this role, no further job lists are shown.

8. Click **Save**.

## Customize matching disclaimer and labels (optional)

For users who have capabilities on their profile, we display an *About match scores* disclaimer on career path pages. We also indicate how well an employee's profile matches job requirements with three tags: limited fit (90-49%), potential fit (50-74%), and strong match (75-100%). Follow the steps below to customize the disclaimer wording, turn off the disclaimer, or customize the tag labels.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the dropdown.

3. Click **Career paths**under Features in the side menu.

4. Click **Edit disclaimer** to customize the wording.

5. Click **Edit labels** to edit the tags.

   * Click the 3-dot icon next to a tag and select **Edit**.

   * Make your changes and click **Save**.

## Grant access to career paths

To grant users access to career paths, you'll need to enable the *Access career paths* permission. This permission is available in both regular and admin permission sets under the *People* tab. When enabled, it allows users to see the *Career paths* option on their profile and*My team* page. You can create a new permission set with this permission enabled on or add the permission to an existing permission set by following the steps in [this article](https://help.quinto.work/hc/customize-permission-sets#Customizepermissionsets-Customizinganexistingpermissionset).

# Change a user's position

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Search for and click the name of the user in the table.

4. Scroll to the Details section.

5. Click the 3-dot icon beside the position.

6. Select an option in the drop-down:

**Update position title:** This option allows you to rename the user's current position. For example, perhaps you want to change Business Development Representative to Business Development Associate. This doesn't change the job association or any reporting relationships.

**Change position:** This option allows you to move the user into another position or create a new position. For example, perhaps a Business Development Representative has been promoted to Business Development Manager. This removes the user from their current position, so the job association and reporting relationships will also change.

**Unassign position:**This option allows you to remove the user's current position. Perhaps an employee has left the organization, and you're not planning to replace them right away. This doesn't delete the position, but it will now be labelled as vacant.

**Additional position:** This option allows you to associate more than one position to a user. Perhaps an employee in your organization performs two roles. This means the user will show up twice in the Quinto org chart, tables, and search results. They will be associated to two different jobs and have two sets of reporting relationships.  
Click the position to edit its job, manager, direct reports, or department.

# Change the interview rating scale

Quinto interview guides include a rating scale so you can make informed hiring decisions. The scale includes five levels from well below standard to well above standard. This provides a clear way to rate each candidate, making it easier to compare their strengths and weaknesses.

## Editing the interview rating scale

You can rename levels, edit descriptions, and add or remove levels to suit your hiring practices.

1. Click the gear icon on the top right of your screen.

2. Select **General administration**in the dropdown.

3. Click **Scales** under Features in the side menu.

4. Click the **Interview guide scale** name.

5. Click the 3-dot icon to edit or delete a level.

6. Hover over a level and click the plus icon to add a level.

7. Hover over a level and click and drag to reorder.

## Turning off the interview rating scale

If you'd prefer not to include a scale in your guides, you can turn off the interview scale. Note that this removes the scale from all guides. Turning it back on will re-add the scale to all guides. The scale can't be turned on for some guides and off for others.

1. Click the gear icon on the top right of your screen.

2. Select **General administration**in the dropdown.

3. Click **Scales** under Features in the side menu.

4. Click the **Interview guide scale** name.

5. Turn off the toggle at the top of the page.

6. Click **Turn off** to confirm.

# Change the structure and layout of jobs

## About job templates

Your site comes with one template for job descriptions and one for job posts. Learn more about job posts [here](https://help.quinto.work/hc/job-description-vs-job-post.md). In this article, we'll focus on how you can customize the job description template. This template controls the structure and layout of all jobs on your site. We provide a default setup, but you have the freedom to completely restructure this template to suit your organization.

This doesn't mean all of the sections you include in the template need to be filled out on each job. You'll still have the flexibility of leaving sections or properties blank on a job. But you can really streamline the job creation process by renaming fields based on the terminology your organization uses or removing sections that aren't relevant.

## Accessing job templates

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job templates** under Features in the side menu.

4. Click the **Job descriptions** template.

## Deciding which features to include

* **Consistency scores:** Define an ideal range of items for each library type. Quinto will calculate a score for each job based on how well a job meets that criteria. [Learn more](https://help.quinto.work/hc/consistency-scores-and-guidelines.md)

* **Tracking defaults:** Turn [track progress](https://help.quinto.work/hc/track-progress-on-jobs.md) and [track changes](https://help.quinto.work/hc/track-changes-on-jobs.md) on or off by default for jobs using this template. You can override these defaults on individual jobs. Changes to to this setting only apply to jobs created after the change.

## Deciding which sections to include

The sections on a job correspond to the [libraries](https://help.quinto.work/hc/types-of-libraries.md) in your site. We know that not all organizations prioritize the same types of requirements. You can choose to show or hide any of the available libraries. Simply click the 3-dot icon and select *Turn on* or *Turn off* or click the section name to open a side panel where you can toggle that section on or off.

Click the 3-dot icon beside Summary or Information and select *Rename* to customize these headings. To rename other sections, you'll need to [rename the libraries themselves](https://help.quinto.work/hc/rename-a-library.md). This will automatically update the headings on the template.

## Displaying job properties

Click *Information* under the Content heading to open a side panel. The Jobs column allows you to choose which properties to display in jobs descriptions themselves. The Special column allows you to choose which properties to display in jobs as they appear in the org chart and career paths.

Click and drag a property to reorder, and click *+Subheading* to further divide the properties into categories. If you want to rename a property or add your own, [click here](https://help.quinto.work/hc/add-custom-fields-to-jobs.md).

## Displaying competencies

Click *Competencies*to open a side panel. You can choose whether to show or hide the competency architecture. When this setting is turned on, you'll see a core, leadership, job-family, or job-specific label beside each competency on a job. You can also click and drag each label to customize how the architecture is ordered on published jobs.

## Adding a legal section

We highly recommend including a disclaimer in your job descriptions, especially if you're requesting employee signoff. This type of disclaimer typically states that the job description is not an exhaustive list of responsibilities and it may be amended at any time. Click *Disclaimer*to open a textbox and make customizations for your organization.

## Signature and date

Turn this section on to add signature and date fields to job exports. These fields will only appear in the PDF and Word versions of your job descriptions. They don't appear onscreen and are separate from our signoff feature.

Make job descriptions feel like part of your organization with a logo. The image you upload will appear in the top left corner of PDF and Word versions of jobs and interview guides.

Once you reach the final step of creating a review, you can choose to check setup or complete setup. Both options build out the individual assessments so you can manage the review. Check setup is optional, but complete setup is required to actually launch the review.

# Check the audit log for changes

The audit log keeps track of everything that happens in your site. When any user performs an action, it's recorded in the audit log. You'll see the type of content changed, the action name, who performed it, their IP address, and the date. Use this information to check what happens on your site and to quickly resolve issues.

1. Click the gear icon on the top right of your screen.

2. Select **Audit logs** in the drop-down.

3. Search or use the filters to find what you're looking for.

4. Click **General** and select **Interviews** , **Reviews** , **Jobs** , or **Signoffs**to see more specific entries.

5. Click the **Download**link to export the table to Excel.

## Closing a review

### Purpose

Closing a review prevents further submission of questionnaires while allowing sharing and acknowledgment to continue. All submitted data is preserved.

Cancelling an assessment prevents further submission of questionnaires, sharing, and acknowledgment. It deletes all submitted data while maintaining a record of the assessment.

# Collaborate on a job description

When you're invited to collaborate on a job description, you're being asked to review the content, share input, and work with others to make sure the job is accurate and complete. This article guides you through the actions available to you depending on your assigned role.  

## Accessing the job

You'll receive an invitation email with a direct link to the job. Clicking the link will open the job in your account. You can also access collaboration tasks from within Quinto. Click the list icon at the top right of your screen, find the job you've been asked to collaborate on, and click View.

## Understanding your role

Once you've opened the job, click the people icon in the toolbar to check your assigned role.

**Reviewer**

* Add reactions and comments.

* Reply to or tag others in comments.

* Provide feedback and sign off (if enabled).

**Contributor**

* Everything a reviewer can do.

* Edit the job description directly.

* Use track changes to show edits.

**Author**

* Everything a contributor can do.

* Invite other collaborators.

* Move the job through collaboration steps.

* Publish the job if no publisher is assigned.

**Publisher**

* Everything an author can do.

* If assigned, they are the only role that can publish the job.

## Adding input

**Available to: reviewers, contributors, authors, publishers**

Start by reading through the job description to see what's already been included. It's helpful to check for any edits or comments from other collaborators before adding your own.

### To add a reaction or comment

1. Click the 3-dot icon next to an item on the job.

2. Click the thumbs up or thumbs down icon.

3. Click the comment icon, enter your comment, and press Enter to save.

4. Type @ when you're adding a comment to open a list of collaborators.

5. Select a collaborator to tag them in a comment. They'll receive an email notification.

## Editing the job

**Available to: contributors, authors, publishers**

To make your edits visible, turn on track changes in the toolbar. [Learn more](https://help.quinto.work/hc/track-changes-on-jobs.md)

For significant edits, we recommend adding a short comment to explain your reasoning.

## Providing feedback and signing off

**Available to: reviewers, contributors, authors, publishers**

Once you've finished reviewing the job, you may be asked to provide overall feedback or formally sign off. These options depend on your administrator's settings.

### To sign off on the job

This indicates you think the job is ready for publishing.

1. Click the **Sign off** button on the top of the page.

2. Enter your feedback in the window that opens.

3. Click **Signoff** again to submit.

### To provide feedback without signing off

This indicates you think the job needs more work.

1. Click the **Feedback** button on the top of the page.

2. Click **Add feedback** in the side panel.

3. Enter your overall thoughts.

4. Click the checkmark to save.

### To reply to other people's feedback

1. Click the **Feedback** button on the top of the page.

2. Click **+ Reply** under someone's feedback.

3. Enter your reply in the textbox that opens.

4. Click the checkmark to save.

### To remove your signoff

1. Click the **Signed off** button at the top of the page.

2. Select **Remove signoff** in the dropdown.

3. Enter your reasoning for removing your signoff.

4. Click **Remove** to confirm.

## Publishing the job

**Available to: Authors, Publishers**

If a publisher exists, the author needs to move the job to final approval, which is what sends an invite to the publisher. Moving the job to final approval prevents further submissions from collaborators. If there's no publisher, the author has the option to publish directly from the collaboration step.

### To send the job for final approval

1. Click the people icon in the toolbar.

2. Click the **Collaboration** stage in the side panel.

3. Select **Final Approval** in the dropdown.

4. Add feedback and click **Move**.

### To move the job back to collaboration

1. Click the people icon in the toolbar.

2. Click the **Final approval** stage in the side panel.

3. Select **Collaboration** in the dropdown.

4. Add feedback and click **Move**.

### To publish the job

If a publisher exists, only they can publish the job. If there is no publisher, the author can publish.

1. Click the 3-dot icon on the top of the page.

2. Select **Publish job** in the dropdown.

3. Click **+ Add feedback** in the window that opens.

4. Enter your feedback and click **Publish**.

## Updated roles and permissions

We've renamed the collaboration roles to better reflect how each type of collaborator contributes to the job. We've also introduced the exclusive publisher role to give more control over the publishing process.

## Assign collaborators at the group level

You can now assign users to any collaboration role at the job group level. For example, you might assign the Director of Marketing as the publisher for the Marketing group. This ensures they're automatically included as a publisher on all jobs within that group.  
Job group collaborators are optional. You can always simply invite people directly to individual jobs.

## New workflow steps

There are three workflow steps:

### Step 1. Preparation

All new jobs begin in the preparation step. HR is typically responsible for drafting the initial version of the job. This might include entering basic information, organizing requirements into categories, and making sure the structure is consistent with other jobs. The goal of this step is to prepare the job as much as possible so it's easy for collaborators to review and build on.

### Step 2. Collaboration

When an author sends invitations to collaborators, the job is automatically moved to the collaboration step. Vice versa, if the job is manually moved to the collaboration step, the author is prompted to invite collaborators. This step is designed for managers to clarify requirements, provide input, and suggest changes based on their expertise. Authors, collaborators, and reviewers can work together in this step to refine the job until it's ready for approval.

### Step 3. Final approval

Once feedback has been incorporated and no further changes are needed, the author can move the job to the final approval step. This sends a request to the designated publisher, who is responsible for reviewing and publishing the final version. During this step, the job becomes read-only for reviewers and contributors, ensuring no further edits are made.  
This workflow can be more or less structured depending on your organization's needs. For example, if there's no designated publisher, you can skip final approval and publish directly from the collaboration step.

## Job description sign-off

We've replaced the 'Ready to go' checkbox with a more prominent sign-off action. Collaborators are now asked to sign off on the job description, confirming that the requirements are accurate from their perspective. You can easily tell when a job is ready to publish by seeing that all collaborators have signed off.

If you'd prefer a less formal process, you can turn off sign-off in the job description template. Collaborators will simply provide their feedback on the job description without being required to give direct approval.

## Tables for managing drafts and collaborators

Draft jobs now appear in a dedicated table, giving you a clear view of each job's workflow step and assigned collaborators. You can move jobs through workflow steps and manage collaborators directly from this table.

Collaborators also have their own table, where you can see each collaborator's role, the job they're collaborating on, their status, invitation date, and more. Roles can be updated or removed from this table as needed. Both tables can be filtered by job group or workflow step, making it easy to track progress at a glance.

# Compare competency and skill levels

Take advantage of the level comparison tool to ensure that as you build a job description, your choices are consistent with other jobs.

When you're editing a job, click the line graph icon to open the comparison window. Select up to three other jobs to compare item levels. The competencies or skills are listed alphabetically. Jobs you select for competencies will also appear when you open the comparison window for skills, and vice versa.

The jobs you choose to compare remain selected if you leave the job and come back, so you can pick up where you left off. Note that if you select a published job that has a draft version, the levels from the draft version are displayed.

Quinto allows you to view jobs side by side so you can easily compare their requirements. This tool helps you to make informed decisions, ensuring that the competencies, responsibilities, skills, and other details are aligned with jobs in the same family or at the same level.

## Comparing jobs from the table

Follow the steps below to analyze the similarities and differences of any two jobs.

1. Click **Jobs**in the top nav.

2. Find the job you want to view.

3. Click the 3-dot icon and select **Compare**.

4. Search for and select another job.

5. Click the drop-down to switch between versions.

6. Click **Differences** to highlight differences, matches, or nothing.

View other jobs in the side panel of the job you're working on to make quick comparisons.

5. Click the library name and select **Compare jobs** in the drop-down.

6. Search for and select another job.

7. Click **Fullscreen** to expand your view.

## Self and manager (180°)

A 180° assessment combines feedback from the employee and their manager, providing a balanced view of performance. When creating the review, you can choose whether the manager's or employee's ratings are considered the scoring authority.

### Benefits

# Conduct an interview

During an interview, it's important that interviewers know which questions are being asked and who is asking them. Quinto's scorecards ensure everyone can see the questions and contribute feedback in a standardized format. Use the steps below to familiarize yourself with the interface and the process of rating candidate responses.

## Step 1. Open the scorecard

### From the email invite

1. Open the email invite you received from Quinto.

2. Click **View scorecard** at the bottom of the email.

### From your tasks

1. Log in to Quinto.

2. Click the list icon on the top right of the screen.

3. Find the interview and click **Open**.

### From the Openings page

If you have the *Manage interviews* permission:

1. Click **Interviews** in the top nav.

2. Find the opening in the table.

3. Click the name of the opening.

4. Click the **Score candidate** button to open the scorecard.

## Step 2. Review interview questions

Prior to the interview, it's a good idea to familiarize yourself with the questions.

1. Review the interview introduction.

2. Click **Download guide** to save a copy of all the questions.

3. Click **Question 1 \>** to proceed.

4. You'll see your name in the top right corner when a question is assigned to you.

5. Read the question and the follow-ups.

6. Click **What to look for** to review the expected behaviours.

7. Click **Rating scale** to review the levels and understand what each rating signifies.

8. Click the All questions button

## Step 3. Rate the candidate

1. Open the scorecard.

2. As you ask questions, select a rating or n/a.

3. Add notes in the textbox at the bottom of each question.

4. Add general notes at the end of the interview.

5. On the final page of the interview, provide your overall feedback.

   * Do you recommend moving forward with this candidate?

   * Is this candidate a good fit for the role?

6. Add comments to support your overall feedback.

## Step 4. Submit the scorecard

1. Open the scorecard.

2. Click **All questions** on the bottom left of the page.

3. Review your answers and comments.

4. Click **I'm done** on the top right of the page.

5. Select **Submit ratings now** in the drop-down.

6. Click **Go to home page**. Depending on the settings, you might also have the option to view the ratings of other interviewers.

Your scorecard can't be resubmitted.

# Consistency scores and guidelines

Build consistent job descriptions with our new consistency scores and guidelines.

Some people like to add 20+ responsibilities to a job, others may only add half that amount. With our consistency measure, HR can guide everyone towards building standardized jobs that each have approximately the same amount of content.

Consistency scores show how well each job meets your requirements. Guidelines provide customizable instructions you can provide to help ensure everyone understands your organizational standards. Follow the instructions below to define the consistency requirements and guidelines for your jobs.

## Turning on consistency scores

Consistency ranges and guidelines are set on the job template.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job templates** under Features in the side menu.

4. Click the **Job descriptions** template.

5. Click the 3-dot icon beside the **Consistency scores** setting.

6. Select **Turn on** in the drop-down.

## Defining consistency ranges

You can set a different range for each section. Only the sections where you turn on consistency by following the steps below will be counted. For example, you might want to include competencies, responsibilities, and skills but leave out additional information from scoring.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job templates** under Features in the side menu.

4. Click the **Job descriptions** template.

5. Click a job section name to open the side panel.

6. Turn on the **Consistency** setting.

7. Click the **Require x to x** text and set your ideal range.

8. Choose whether to make the range a recommendation or a requirement.

9. Click **Save**. Changes you make can take up to one hour to go live.

## Editing job guidelines

You can customize a unique set of guidelines for each section.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Job templates** under Features in the side menu.

4. Click the **Job descriptions** template.

5. Click a job section name to open the side panel.

6. Turn on the **Guidelines**setting.

7. Click **Edit these guidelines**.

8. Make your changes and click **Save**.

When you're editing a job, click the Guidelines tag to see the guidelines for that section.

## How are consistency scores calculated?

Scoring is between 0 and 100, and each job section is worth an equal amount of the overall score. If four sections have consistency turned on in the job template, each section can be awarded up to 25 points. If a section has a count within the defined consistency range, all 25 points are awarded. If a section is below the minimum or above the maximum range, fewer points are awarded for that section.

# Create and edit competencies

## Creating a blank competency

In addition to customizing competencies, you also have the option of creating new.

1. Click **Libraries** in the top nav.

2. Click **Create** on the top right of the page.

3. Enter a competency name and definition.

4. Select a group and click **Create**.

## Duplicating an existing competency

This is a great option if there's another competency on your site that's similar to the one you're creating.

1. Click **Libraries** in the top nav.

2. Click the competency name in the table.

3. Click **Actions** and select **Duplicate**. The new competency opens.

4. Click **Actions** and select **Edit**.

## Editing the name or definition

The definition is a summary of the competency that expands on the name.

1. Click **Libraries** in the top nav.

2. Find the competency you want to edit.

3. Click the competency name in the table.

4. Click **Actions** and select **Edit**.

5. Click **Actions** and select **Edit name and definition**.

6. Rename the competency or edit the definition and click **Save**.

## Renaming, adding, or deleting levels

HRSG competencies come with five levels. We recommend using the same number of levels across all competencies in your site, but this is something you can customize on individual competencies.

1. Click **Libraries** in the top nav.

2. Find the competency you want to edit.

3. Click the competency name in the table.

4. Click **Actions** and select **Edit**.

5. Point to a level, click the 3-dot icon, and select an option:

   * Edit level title

   * Add level before

   * Add level after

   * Delete level

6. Click **Actions** and select **Publish**.

## Adding, editing, deleting, or reordering behaviours

Each level includes a list of behavioural indicators. These are objective and observable examples of what the proficiency level looks like in a real-world environment.

1. Click **Libraries** in the top nav.

2. Find the competency you want to edit.

3. Click the competency name in the table.

4. Click **Actions** and select **Edit**.

   * **Add:** Click the plus icon to add a new behavioural indicator.

   * **Edit:** Click an existing behavioural indicator and begin typing.

   * **Delete:** Point to a behavioural indicator, click the 3-dot icon, and select *Delete*.

   * **Reorder:** Click the grey header and drag to reorder or move to a different level.

5. Click **Actions** and select **Publish**.

6. Click the [pending updates](https://help.quinto.work/hc/pending-job-updates.md) icon to apply the change to published jobs.

When writing behavioural indicators, we recommend:

* Beginning with a verb.

* Writing one concise sentence for each behaviour.

* Including three to six behaviours per level.

## Managing translations

When you're editing a competency, click *Actions* and select *Show untranslated items* if you have more than one language in Quinto. This displays an icon on each piece of text that hasn't yet been translated so you can easily see what's left to complete.

We provide library items for a wide range of jobs, but no two organizations are exactly alike. You have the flexibility of editing items and creating your own so you can tailor our standardized libraries to suit your needs.

## Creating library items

1. Click **Libraries** in the top nav.

2. Select a library in the drop-down at the top of the page.

3. Click **Create** on the top right of the page.

4. Type in or paste each new item on a separate line.

5. Select a group to place the item in and click **Create**.

## Editing library items

1. Click **Libraries** in the top nav.

2. Select a library in the drop-down at the top of the page.

3. Point to the item you want to edit.

Repeat these steps to add all of the library items you'll need to describe the jobs in your organization. This preparation in Libraries pays off when you start building job descriptions--using library items keeps them consistent. It also makes them easy to maintain because editing one library item updates all jobs where it's been added.

# Create career paths for your team

As a manager, you can create career paths for your direct reports in Quinto. Setting up these paths creates a shared reference point for development discussions and helps employees see how their daily tasks connect to longer-term roles.

To view and create paths for a direct report, click *My team* in the top nav. Click an employee's 3-dot icon and select *Career paths* in the dropdown.

You'll see any paths the employee has shared with you. If a path is saved, click *+Add path* to add another one. If no paths exist yet, the page will automatically show up to three available options. Any paths you save will be automatically shared with your direct report. They'll receive an email with the path name and a link to view the path.

# Create your first job description

There's no prescribed order of steps when you're building jobs. You can begin by adding competencies, or fill in other information first. You might start with a job summary, or save that for the end after you've finalized the job requirements. This article is intended as a guide so you know the options available to you in Quinto.

## Creating a new job

Click *Jobs* in the top nav. There are three starting points to choose from.

* **Create a blank job:** Click *Create* on the top right of the page.

* **Use a warehouse job:** Click *Create* , enter a title, and select *Start with warehouse content*.

* **Import an existing job:** Click the arrow beside the *Create* button an select *Import jobs*.

* **Copy an existing job:** Find the job, click the 3-dot icon, and select *Duplicate*.

Your new job will open in a workspace with plenty of features. You can learn more about those features [here](https://help.quinto.work/hc/job-description-workspace.md). We'll keep things simple and focus on the main elements of building a job to get you up and running quickly.

## Writing a job summary

The job summary is an important piece of your job description. It briefly explains what the role involves. Just click *+Add* under the Summary heading and start typing. We recommend it be 20-60 words long.

## Filling in information

You'll see fields such as job level, salary, or location under the Information heading. The properties displayed depend on what's been added to the job template, [Click here](https://help.quinto.work/hc/add-custom-fields-to-jobs.md) to learn more about customizing this section.

## Adding content

### Paste new content

If you have existing job descriptions, you can simply paste content directly on the job. Click *+Add* under a library heading. If you paste multiple lines, Quinto will convert each line into a separate item. Once the job is published, these items are automatically added to your library so they can be reused on other jobs.

### Search existing content

To conduct a quick search, click *+Add* under a library heading and press the # button on your keyboard. Start typing and you'll see results from your libraries appear in the drop-down.

To browse all of your library content, click the search icon in the toolbar to open the content finder. Click the library name to switch between libraries and use the group and tag filters to narrow your search.

### Add AI suggestions

Want to see how quickly Quinto can take you from a blank page to a full job description? Click the search icon in the tool bar to open the content finder. You'll see a few different AI options.

* For competencies, click *Get suggestions*. We analyze the job summary and responsibilities you've added to suggest the best matches from HRSG's competencies and from your own custom competencies. We also suggest proficiency levels for each competency.

* For non-competencies, click *Smart browse*. We suggest requirements from your library based on all of the content already added to the job description.

* For responsibilities, click *Get more*. We provide a list to open of new AI-generated responsibilities.

## Adding subheadings

You can organize the content you've added with subheadings. Click *+Add* and enter text the same way you'd add an item. Then click the 3-dot icon on the far right and select *Turn into subheading*.

## Moving content

You can reorganize the content in your job description by moving entries between sections. Simply click the 3-dot icon beside an entry, select *Move to*, and choose the new section you'd like to place it in. The item will now appear under the selected heading. Note that this option isn't available for competencies.

# Create your own career path

Career paths help you see how different roles connect and how you can grow within the organization. Choosing or building a path lets you explore opportunities, see the requirements for roles you're interested in, and plan your next steps. There are three different ways to create a path in Quinto depending on your site setup. No matter which option you use, you'll get a clear picture of where you want to go and how to get there.

## Option 1. View defined paths

Defined paths are set up by your organization and outline common routes for specific areas or job families. Use this option if you prefer to follow a path that's been mapped out and validated by HR. You can browse the jobs included and choose a path that aligns with your interests.

1. Click **My profile** in the top nav.

2. Click the **Career paths** tab.

3. Click **View defined paths** (or *+Add paths \> View defined paths*).

   * Search for a specific path or job at the top of the page.

   * Filter paths by job group or by tag at the top of the page.

   * Click **View details** to see a detailed comparison of the jobs in a path.

   * Click a job title to see the requirements and how they compare to your profile.

4. Click **Select path** to save to your profile.

5. Pick a target role if the path includes roles beyond the one you're aiming for.

7. Click **Select**.

## Option 2. Explore possibilities

Exploring lets you browse all available jobs without limits. It's a great way to discover opportunities you might not have otherwise considered. Quinto displays up to 20 jobs based on their relevance to your profile and current role. Once you select your next role, we provide another list of jobs in descending order of similarity to the job you selected. You can continue selecting jobs until you've found your target and built your own custom path.

1. Click **My profile** in the top nav.

2. Click the **Career paths** tab.

3. Click **Explore possibilities** (or *+Add paths \> Explore possibilities*).

4. Set a current role as the starting point if you don't have one and click **Save**.

   * Select a possible next role and as many possible future roles as you want.

   * Click **Search** at the top of a list to find a job that's not suggested.

   * Click **Reset**at the top of a list to clear your selection for that list.

   * Click **View details** (or the *Limited fit* / *Potential fit* / *Strong match* label) in a job tile to see the requirements and how they compare to your profile.

5. Click **Save path** at the top of the page once complete.

6. Customize the name of your path.

8. Click **Save**.

## Option 3. Start with a target

If you already know the job you want to work toward, this option lets you begin with that target in mind. Quinto presents up to three unique paths to choose from. The sequence of roles is determined by their relevance to your current role and then to the previous step's role. If both your current and target role are included in a defined path, that path will be included as one of the options. Starting with a target helps you see which roles can lead there, so you can plan your path more strategically.

1. Click **My profile** in the top nav.

2. Click the **Career paths** tab.

3. Click **Start with a target** (or *+Add paths \> Start with a target*).

4. Search for and select a job as your target role.

5. Set a current role as the starting point if you don't have one and click **Save**.

   * Click **View details** to see a detailed comparison of the jobs in a path.

   * Click a job title to see the requirements and how they compare to your profile.

   * Click the X at the top of the page to enter a new target role.

6. Click **Select path** to save to your profile.

7. Customize the name of your path.

9. Click **Select**.

## Sharing a career path

Once you save a path, you'll be prompted to decide whether to share it. Sharing a path sends an email to your manager with the path name and a link to view the path from their team page. This helps your manager understand the direction you're interested in taking and makes it easier for them to support your career development.

You can change your mind at any time. Click the three-dot icon next to the path name and select *Share* or *Make private* in the dropdown. Note that your manager won't be notified when you make a shared path private.

## Adding multiple career paths

You can save more than one career path to explore different directions at the same time. For example, you might keep a defined path as a reference while creating custom paths to try other possibilities. Creating multiple paths also gives you the opportunity to review them with your manager and decide together which path makes the most sense for your development.

Once your first path is saved, you'll still see an *+Add path* button at the top left of the career paths page, letting you create additional paths.

## Renaming a career path

Once a path is saved, you can't change the selected jobs. However, you can always update the path name, unless its a defined path. Click the three-dot icon next to the path name and select *Edit* . Enter a new name for your path and click *Save*.

## Deleting a career path

If a path is no longer relevant or you'd like to start fresh, you can delete it from your profile. Click the three-dot icon next to the path name and select *Delete* (or *Remove* if it's a defined path) in the dropdown. Paths you've created yourself can't be restored, so be sure you no longer need the path before deleting.

# Customize onscreen review instructions

Onscreen instructions are the first thing participants see when they open a review. We recommend using these instructions to provide guidance and set expectations. You can customize instructions separately for subjects and managers to address their specific roles in the review.

## How to customize onscreen instructions site-wide

You can edit the default instructions to align with your organization.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Communications**under Account in the side menu.

4. Click **Review introduction - subjects** or **Review introduction - managers**.

5. Make your changes and click **Save**.

## How to customize onscreen instructions on a specific review

You can override the sitewide instructions for a specific review in the final setup step.

1. Click **Reviews** in the top nav.

2. Click **Manage reviews** in the drop-down.

3. Find the review in the table.

4. Click the 3-dot icon beside the review.

5. Select **Edit setup** in the drop-down.

6. Click **Review** in the sidebar.

7. Click **Review and edit** under Communications.

8. Click **Edit instructions** under the introduction you want to customize.

9. Make your changes and click **Exit** (edits are live-saved).

## Types of permission sets

There are two types of permission sets in Quinto: Regular and Admin. Your Quinto site comes with two default regular permission sets (Regular Users and Regular Users + Interview) and two default admin permission sets (Content Editors and Administrators). The permissions available in each type of permission set are listed below. You can make changes to the defaults or create your own permission sets.

## Customizing an existing permission set

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Permission sets** on the top right of the page.

4. Click the name of a permission set.

5. Turn permissions on or off.

6. Click **Save** when you're ready to apply the changes.

## Creating a new permission set

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Permission sets** on the top right of the page.

4. Click **Create** on the top right of the page.

5. Enter a name and select a type (regular or admin).

6. Turn on the permissions you want to add and click **Save**.

## Renaming a permission set

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Permission sets** on the top right of the page.

4. Click the 3-dot icon and select **Rename**.

5. Enter a new name and click **Save**.

## Deleting a permission set

It's not possible to delete a default permission set. To proceed with deletion, you'll need to make another permission set the default.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Permission sets** on the top right of the page.

4. Click the 3-dot icon and select **Delete**.

5. Click **Delete**to confirm.

Users might lose access to Quinto when you delete a permission set.

# Delete and restore users

You may need to delete users temporarily or permanently for a variety of reasons. We recommend [deactivating users](https://help.quinto.work/hc/activate-and-deactivate-users.md) who plan to return because they'll remain associated to their position. However, deleting is also reversible. Whether it's an accidental deletion or a change in circumstance, you can always restore deleted users.

## Deleting a user

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Search for and select the user in the table.

4. Click **Delete** in the menu at the top of the table.

5. Click **Delete** to confirm.

## Viewing deleted users

Deleted users are moved to the Anonymize users page so you can focus on your current users. Follow the steps below to access this page. From here, you can restore or anonymize users.

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Actions** on the top right of the page.

4. Select **Managing deleted users** in the dropdown.

## Restoring deleted users

1. Click the gear icon on the top right of your screen.

2. Select **User management** in the dropdown.

3. Click **Actions** on the top right of the page.

4. Select **Manage deleted users** in the dropdown.

5. Click a user's 3-dot icon and select **Restore**.

Your site comes with a customizable homepage. As the administrator, you can show or hide widgets and design the content. This is the first page new users will see, so adding useful links, a welcome message, your core competencies, and job analytics are all great ways to introduce people to Quinto.

6. Click the 3-dot icon and select **Turn off**to hide.

7. Click **+Add** to add a new link.

## Customizing the welcome message

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

3. Click **Homepage**under Account in the side menu.

4. Click **Welcome message** under Main content.

5. Enter your message.

6. Turn on the **Visibility**setting to allow users to hide the message.

7. Check the message preview and click **Save**.

1. Click the gear icon on the top right of your screen.

2. Select **General administration** in the drop-down.

6. Click the pencil icon to customize the background colour of each competency.

7. Add a message or upload a video and click **Save**.
